Special Arrangement of 2022 HKGCC Annual General Meeting
Dear Members,
Subject to Government regulations in force at the time, the Annual General Meeting (AGM) of The Hong Kong General Chamber of Commerce will be held on 13 May 2022 at 6:00 pm, at 22/F United Centre, 95 Queensway, Hong Kong. Notice of the AGM has been posted on our website at the following link:
https://www.chamber.org.hk/en/about/circulars.aspx?ID=169
Other AGM documents have been posted on the website as below:
1) Annual Report https://www.chamber.org.hk/en/about/annual.aspx
2) Proxy Form https://chamber.org.hk/en/doc/2022_AGM_Proxy.pdf
A full set of AGM documents will be sent by post to those Members which have requested hard copies.
Under the Prevention and Control of Disease Ordinance (Cap.599) and its subsidiary legislations (“Regulations”), physical AGMs are not permitted at the date of the Notice of AGM (being 20 April 2022). If physical AGMs are still not permitted at the planned date of the AGM on 13 May 2022, the AGM may have to be postponed to a future date. Members will be informed in advance of 13 May 2022 of any such postponement.
Assuming there is no such postponement and the AGM goes ahead as scheduled on 13 May 2022, members are reminded that in compliance with the Regulations prevailing at the time of the AGM, they will not be admitted to the AGM venue if the attendance reaches the maximum capacity of the venue as set by the Regulations.
Members are further reminded that attendance at the AGM in person is not necessary for the purpose of exercising their voting rights. The General Committee strongly advises that they use the Proxy Form provided (see above) to appoint the Chairman of the AGM as their proxy to vote on their behalf.
The General Committee also requests Members: (i) to consider carefully the risk of attending the AGM, which will be held in an enclosed environment, (ii) to follow any guidelines or requirements of the Hong Kong Government relating to COVID-19 in deciding whether or not to attend the AGM and (iii) not to attend the AGM if they have contracted or are suspected to have contracted COVID-19 or have been in close contact with anybody who has contracted or is suspected to have contracted COVID-19. As a precautionary safety measure, seating at the AGM will be arranged so as to reduce interaction between participants and no food or drinks will be served at the venue.
Members can watch the AGM proceedings live at https://chamber.org.hk/agm2022 .
The health of Members and Chamber staff is of paramount importance. As such, if the Regulations are relaxed to allow physical attendance of Members and any Member wishes to attend the AGM in person, a number of further precautionary measures will be put in place at the AGM venue including temperature screening and wearing of surgical face masks, as detailed in the appendix.
If the Government announces further measures before the date of the AGM which affect the AGM proceedings, the General Committee may consider changing the date of the AGM, or introduce further steps to reduce physical interaction. Members are advised to be alert to any Chamber announcements sent to Members or posted on the Chamber's website.
Best regards,
George Leung
CEO
