Special Arrangement of 2020 HKGCC Annual General Meeting

Dear Members,

In view of the COVID-19 situation, the Annual General Meeting (AGM) of The Hong Kong General Chamber of Commerce will be broadcast live on 15 May 2020 at 6:00 pm, from 22/F United Centre, 95 Queensway, Hong Kong. Notice of the AGM has been posted on our website at the following link:

AGM documents have been posted on the website as below:

A full set of AGM documents will be sent by post to those Members which have requested hard copies.

Members are reminded that attendance at the AGM in person is not necessary for the purpose of exercising voting rights. The General Committee strongly advises that they appoint the Chairman of the AGM as their proxies to vote on their behalf, using the Proxy Form provided (see above).

The General Committee also requests Members: i) to consider carefully the risk of attending the AGM, which will be held in an enclosed environment, (ii) to follow any guidelines or requirements of the Hong Kong Government relating to COVID-19 in deciding whether or not to attend the AGM and (iii) not to attend the AGM if they have contracted or are suspected to have contracted COVID-19 or have been in close contact with anybody who has contracted or is suspected to have contracted COVID-19. As a precautionary safety measure, seating at the AGM will be arranged so as to reduce interaction between participants. As a result, there will be limited capacity for Members to attend the AGM and no food or drinks will be served at the venue.

Members can watch the AGM proceedings live at a link to be sent to members separately by email or by post if no email address is provided.

The health of Members and Chamber staff is of paramount importance. As such, if any Member wishes to attend the AGM in person, a number of further precautionary measures will be put in place at the AGM venue including temperature screening and wearing of surgical face mask, as detailed in the appendix.

If the Government announces further measures before the date of the AGM which affect the AGM proceedings, the General Committee may consider changing the date of the AGM, or introduce further steps to reduce Members' physical interaction. Members are advised to be alert to any Chamber announcements sent to Members or posted on the Chamber's website.

Appendix:

Further precautionary measures for the Annual General Meeting

To safeguard the health and safety of Members and Chamber staff, the following further precautionary measures will be implemented at the AGM:

1) Compulsory temperature screening / checks

At the entrance of the AGM venue, persons attending will be subject to temperature screening/ checks. Any person with a body temperature above 37.5 degree Celsius or who exhibits flu-like symptoms may be denied entry into the AGM venue and be requested to leave.

2) Wearing of surgical face mask

Persons attending will be required to wear their own surgical face masks throughout the AGM.

3) Food, Refreshments etc

No food, drinks or other refreshments will be served or allowed at the AGM.

4) General

Persons attending are requested to observe and practise good hygiene at all times at the AGM venue. The Chamber may request any person to leave the AGM venue if his/her action puts the health and safety of other persons at risk (e.g. his/her attendance goes beyond the maximum capacity of the venue).
